Information We Collect When You Enquire
When you contact us through the enquiry form on our contact page, we may collect the information you choose to provide, such as your name, company name, job details, delivery area and any notes needed to assess a flexo photopolymer plate-making request. We may also collect limited technical information connected to your visit, such as time stamps and basic device data, where that is required for security, administration or troubleshooting.
- Contact and company details you submit
- Artwork and job instructions shared for plate work
- Delivery, collection or dispatch details
- Records of correspondence linked to your request
Why We Use Personal Information
We use personal information to respond to enquiries, prepare quotations, manage artwork checks, plan production and coordinate collection or courier delivery across South Africa. We also use records to support plate remakes, resolve queries, maintain job history and meet legal or accounting obligations. Where needed, we may use information to verify instructions before carrying out a job, which helps reduce errors and keep production aligned with the supplied artwork.
- To assess and handle your enquiry
- To process and dispatch plate orders
- To support file checking and proof comparison
- To keep operational and financial records
How We Share Information
We only share personal information where it is necessary for the work, where you have asked us to do so, or where law requires it. This may include sharing delivery details with a courier service, or sharing job information with team members who need it to complete the order. We do not sell personal information. If a third party assists with a specific service, they are expected to handle the information only for that purpose and to keep it confidential.
Information may also be shared with the operator, Astros Marketing (Pty) Ltd, for administration and record keeping, subject to the same confidentiality and security measures.
Storage, Security and Record Keeping
We take reasonable technical and organisational steps to protect personal information against loss, unauthorised access, alteration or disclosure. Records are kept for as long as needed for the purpose collected, or as required by law, after which they are securely deleted or archived. Access is limited to staff who need it for their work, including production, client services and logistics.
- Access controls for relevant staff only
- Reasonable safeguards for electronic and paper records
- Retention limited to lawful business and compliance needs
- Secure disposal when information is no longer needed
Your Rights Under POPIA
You have the right to ask whether we hold personal information about you, to request access to that information and to ask for corrections where details are inaccurate or incomplete. In some cases you may also object to certain processing or request deletion, subject to legal or contractual duties that may require us to keep some records. To protect your information, we may ask for reasonable proof of identity before acting on a request.
- Request access to your personal information
- Ask us to correct outdated or incorrect details
- Object to certain processing where lawful
- Withdraw consent where consent is the basis for processing
Artwork, Job Files And Customer Instructions
Job files, artwork and production instructions may contain personal information or business-sensitive material. We use those files only for the purpose of preparing and supplying the requested flexo photopolymer plates, including artwork preflight, file checking, imposition planning, screening support and proof comparison. If a file includes information that must be handled in a specific way, please say so clearly in your enquiry so we can follow the correct instruction.
Because printing work often involves repeat jobs and remakes, we may keep approved job records for reference. That helps us maintain consistency when the same client returns with a similar specification, and it reduces avoidable errors in plate trimming, labelling and dispatch packing.
Updates To This Policy And How To Contact Us
We may update this privacy policy from time to time to reflect changes in law, our service process or record-keeping practice. The latest version will apply from the date it is published. If you have a privacy concern, a question about how your information is used, or a request under POPIA, please use the enquiry form on our contact page so the matter can be logged and directed to the right person.
Our team in Midrand, Gauteng handles requests linked to Johannesburg, Pretoria, Durban, Cape Town, Gqeberha, East Rand and West Rand deliveries, and we keep records in line with the same privacy standards across all service areas.
